Pre Production Report

My company have planned out what we need for my short film, the facilities, the equipment, the location, the crew roles and the finance and we are producing a report to explain everything that is needed for our short film, which is going to be entered for the film festivals. The short film I am going to be producing is called 'The devil within'. This film is going to be 1 minute long. My role is the pre-production manager. Because my short film isn't public company I will be funding it myself and the source I will be using is Kickstarter. I will be talking about how I am going to fund my short film and the scheduling times and what I need to do for my short film to be a success. 

A type of production: The type of production is a short film which has the genre of a horror. This production requires a crew, a script, a storyboard, specific locations, props such as; make up blood, cameras and lights. 

Finance: Film producers get their finance through different ways. One of the ways is through their own savings; this benefits them in the long term if their film makes profit successfully. Another way is through investors investigating on a certain part of the money that needs to be paid back after being helpful to produce their movie. For my production I wouldn't need to provide a big amount of money because most of the materials that I will be using will be provided by my college. My only input in money wise would be to provide food for my actors and that will be paid with my personal savings. The transport is already established because I and my actors all have free travel oyster cards. Another way I’m going to be financing my short film is through Kickstarter. Kickstarter is a company that help people with their film ideas and gives them a starter to invest on. The reason why I am using Kickstarter is because it's the quickest and easiest way to earn money for producers like myself on their short films. The other way I could raise money for my short film is through charity, also I could earn money through the government. The way to do this is that I would need to sign up for a grant, which is money that you can receive from the government for your business. He advantages to this is that I would have to pay grant back and I would lose control over my business however I would have to find a specific gran ha suits my business well and also there is a lot of competition. However the ways I am choosing to finance my short film is from my own personal savings and through Kickstarter because these are two easiest ways to earn money. As I am production manager I would have to organise and know how much things cost but the cameras and lighting will be for free because that would be provided by my college. However in the real world this is what they would cost. 
Budget Requirements: the costs to everything I will be needing for my short film will be below 

Cameras - Are from £93.99 up to £32,549.46. I would have to purchase one camera as I’m using a single camera to shoot my short film. However in this case I will be booking a camera from my college for free. 

Lights and microphone - £54.99-£183.64 for both lights and microphone. It would cost £500 per day to hire a camera man who would sometimes bring their equipment and sometimes not. In this case I wouldn't need to hire anyone because I will be shooting my short film myself and with members from my production team, also there will be voice overs of my actors voices being recorded over the videos and I will be filming in daylight for parts of my film and for the dark scenes we will use lighting and also a flash light for props to create more suspense.

Editing Suites - These suits can cost £500 per day/hour but in this case I will be using the editing suite that is provided in college.

Talent - to hire talent/talents will cost £500-700, however I will be using my colleagues who take drama as a course, because they will be more professional and they won't ask for any pay. 

Crew - In order to hire a crew for a short film it would usually cost more than £5, 100. For my short film we will be in a group of 4 and we will split the jobs between us. 


Facility hire - the experience to rent an edit suit to have videos edited will cost around £550 per day. In this case I will be using the schools editing suit for free. 


Materials: 
Clearance is paying for copyrighted materials to be used e.g. Music tracks/sounds. Every time a copyrighted material is shown on another shoe the owner of the material gets paid a certain amount of money in order for them to use their material, which ranges from £50 upwards depends on how much was negotiated. Because of the fact this is a college project we won't have to pay for the use of other sound tracks, however for my short film my plan was to create my own original sounds due to the fact myself and the people in my group know how to use Logic Pro X. Also we have access to non-copyrighted sound tracks from YouTube which is free to download. Because getting a non-copyrighted sound track from YouTube is easier and quicker that is what I’m going to do. The scripts and storyboards will be already provided for us as template we can download and use to fill in. 

Equipment/Facilities: Equipment such as cameras, lights and other things can be booked for free form the college.  But in a real life situation it will cost around £1000 to get a camera man alone cost around 500 pounds that's half of the money gone already therefore it's not cheap. Post- production equipment: edit suite can be booked for £550 a day and this suites will contain macs which will run the software Final cut x which is the software that will be used to edit our shots. Location: The majority of our shots will be filmed in a local area, so around Sidcup/Kent and we will need a permit from the Kent council in order to film in particular places, in order to do this I will need to collect a location release form from the local council to fill out and sign and that would be my evidence to show that I have permission to film on certain grounds. My short film is a horror therefore the director will need to find me an isolated location in the forest where the scenery is good to intense scenes. Then the director will give his research to the producer and then the producer will decide if the scenery is suitable for the short film that is being made. When the weather is not suitable we have two options, we can either use the weather to set a mood in the series or film it in that condition or edit the footage to make it look better and clearer. The location of where we are going to shoot the footage won't be far from the crew member’s houses. Most materials will be provided by my college but the rest will be coming out of my personal savings and will be booked of a booking company for a certain period of time. 

Crew roles and Personnel: The availability of personnel I'm going to be doing this project with 2 or 3 other people so the roles of the production will be split amongst us, for actors we will be gathering talents from our college and outside our college that take a drama course. However in the real world auditions will be taken place to act in my short film and this will cost the production crew money as they will have to rent out a location in order for the auditions to take place. The people I will be hiring will be listed below: 
  • A camera man who will be in charge of the camera and responsible for the filming 
  • Editor who will edit and put shot in order from the camera in to a story 
  • Sound Engineer who will be in charge of the sound from the ambient sound to non-ambient sound 
  • Director who will direct the whole plot and I will be the producer 
  • Camera operator which will be in charge of the storyboard of the short film.
To hire a camera man it starts from £250 for half a day.

I've been put in a group of 4 and we have our own roles that we have to follow. My role is the production manager and camera operator which creates the storyboard. I was given this job because I am the most talented and I know how to use the rule of thirds. My job is to read over the script, go to the location and take pictures of how the story would go. Within this I would have to use long shots, close ups, extreme close ups and other camera techniques. The person that was chosen to be the producer is because that person is the most organised therefore he will be calling up our locations that we want and asking if we can film there, he also needs to organise our crew roles, risk assessment, budget, call sheet, release forms and permissions and clearances. He was also given this job because he get things done on time. The person that was chosen to have to role of a director was given that role because he is the most creative in the group therefore his role is too write the script and line the script. Also he has to do the location recee, get the props, costume and masks, the shooting schedule. As a production manager I will make sure everything is up to quality standards.

Contributors: As well as having my production team I would still need other roles contribute. The roles I already have and that are going to contribute are the producer, the director and the camera operator. Also the other contributes will be my actors that we be selected carefully also they would be already taking a drama course therefore my film will look more professional because my actors study drama. Before they act in my short film I will need them to sign a release and consent agreement form to say that I have permission to film them and to have their face on camera. If they get filmed and then decide they don't want their image in on camera it would have a big effect on us because certain scenes would have to be taken out or be re-shot or faces would have to be blurred out and this would mean that our film is no longer going to be able to be broadcast. 

Codes of practice and regulation: 
In order for my short film to become successful we would have to have regulations such as in the location area I would need to have evidence therefore I would need the release permission form to be filmed in and signed by the owner of that location to show that I can film on their grounds; that form would also have to be on their site, also I would need to take pictures and videos of the location I am filming at. I would also the documents and forms from my actors to have their permission to film them. I would need to show evidence that I know about the health and safety rules before I begin anything. Public liability is also another thing to look into because as our production starts members of the public may be captured in our shots, however because this is a college project my college already has public liability insurance for my production work. Because of the fact some scenes are filmed in a public area, no fake weapons will be allowed such as guns and knives, also no brutal horrific fight scenes will be allowed because we will be in a public environment. Unless we have at least two police officers watching us shoot the scene but then they would have to block off the whole road in order for us to film that scene therefore we would need permission to do this as well. If the council would allow us to do this the BBFC would rate my film to be an 18, however if we are not allowed then certain violent scenes would have to be cut out therefore the film wouldn't be as violent then that would affect our rating; the BBFC would then rate my film as a 15 because it has less brutal and gory scenes. Also rate cards is how much they pay. Below will be an image of a rate card. The image below shows how much each person gets paid for their job. 


Time: This part of the media industry is very important, time and scheduling is everything in the media world. It's all important because you have deadlines to meet and if you don't meet the deadlines you would have to spend more money, For an example if you have booked a editing suit for 2 days which is £1,000 and your deadline was to finish editing the videos within those 2 days given but you haven't finished and you need an extra day you have to pay another £500 and then everything else will have to be pushed forward; different deadlines will have to be made and it will waste a good amount of time and money. The most time I will be filming is on weekends as I am occupied within the week and so are my actors because we have college. One week would be a good amount of filming time and editing time considering we can get some done within our spare hours. The extra props my college wouldn't supply for us, it will be coming out of my personal savings but they will be at a cheap price. The first day we will be focusing on getting the props ready and the actors ready; making sure everyone knows their role and what everyone is doing. Also we will be deciding on our location. Then this will lead on to the second day where will be getting our equipment ready such as our cameras and lighting in order for us to start filming on the third and fourth day. Then the fifth day will be us editing our footage and once that is done we can release our film allowing us to reach our deadline on time. The days we are filming would start at 9:00am and finish at 4:00pm which is not too early because it will still be too dark and it's not too late because we won't have as much energy as we would have in the morning and for the editing we will need a whole day to edit our short film. As production manager I will make sure everything is up to standards and make sure all deadlines are met.

Conclusion
In conclusion considering we only have 1-2 to shoot our film I’m going to make sure everything is organised and ready in time such as the equipment; the main thing we need is a camera therefore we will book our camera a couple days before we start shoot considering our media class is big and most of us want to shoot on the same day. I'm also going to get all documents done as well, therefore everything will be ready so we can hit the deadline.
